This privacy policy explains how we use the information we collect about you and the procedures that we have in place to safeguard your privacy whilst you use the Pluto Educational Trust website and if you purchase a membership scheme for one of our journals. How We Collect and Use Your Personal Data

Pluto Educational Trust (PET) collects certain personal data depending on what activities you engage in related to our website and our products and services. Examples of these different activities and the data we may collect are listed below.

  • General use of the website: We use Google Analytics to monitor traffic patterns. As part of this, we may collect information about your geographical location; age and gender; and statistics about your use of the website.

What we do with the information we gather:

  • Donations made through our website are handled by Kindlink. Donation amounts given are sent directly to the Pluto Educational Trust. If you have chosen to donate to a specific project or journal, then your donation will be allocated to the project you have chosen to support. Kindlink is used to process these payments.   • We use the data gathered about your visit(s) to our website to improve our functionality and overall user experience.

Our Legal Basis for Using Your Personal Data

There are three legal grounds on which we rely to use your personal data. These are listed below:

  • Contract: When you make a donation purchase from the Pluto Educational Trust website this constitutes a contract of sorts. In order for us to fulfil our obligations under this contract, we need to collect and process your donation payment ensuring it is paid to your chosen donation project.

  • Legitimate Interests: As a data controller, we rely on our legitimate business interest to process the personal information you provide to us when you use our site or if you contact us, or participate in any survey, competition or similar activity we might run. We will only use your data in ways you would reasonably expect.

  • Consent: We will only collect or process your personal data, including for marketing purposes, where you have provided active and explicit consent for us to do so.

Disclosure of Personal Data

We will not share your personal data with any third parties unless it is strictly necessary. Those third parties with whom we may share your data are as follows:

  • Our Kindlink donation service ensures your donations are collected and sent to your chosen donation project.[L1]  Kindlink will share your data with third party service providers to the extent necessary for them to provide their services such as payment processors. Kindlink uses these third party services solely to process or store your information for the purposes described in their privacy policy. Kindlink will also share your information with relevant organisations or authorities for the purposes of anti-money laundering, anti-bribery or know your customer checks or claiming gift aids on behalf of charities, or when necessary to comply with applicable laws, rules and regulations.

  • Our regulators, law enforcement or fraud prevention agencies, as well as our legal advisers, courts, and any other authorised bodies, for the purposes of investigating any actual or suspected criminal activity, enforcing our rights or other regulatory or legal matters.

Marketing and Promotional Activity

Where you have provided your explicit consent for us to do so, we may contact you with marketing information about certain products, events, services etc. We will only use the personal information you provide us with in order to provide marketing information that is relevant – in other words, relating to the same or similar services you have previously used.

If you are signed up to the marketing emails but no longer want to receive promotional emails from us, simply scroll to the bottom of any email you have received and click ‘unsubscribe from this list’. If you have opted to make a regular donation using Kindlink you will still receive emails to communicate with you the operation of this.

Use of your data by Pluto Journals

Pluto Educational Trust collects some data in order to understand how its websites are used. This data processing is primarily concerned with counting views and downloads of specific reports, articles and videos, and, if available, the geographical distribution of the views/downloads.

Pluto Educational Trust also collects data on how people use its website in order to understand the impact of its work and improve its communication and dissemination. This data processing is primarily concerned with recording the specific pages of the website that people enter and leave the site from, the sections of the website they visit, as well as the items they download. Pluto Educational Trust uses the data we collect to report to staff, funders, its Advisory Board and our partners about the impact of particular reports, campaigns and workstreams.

Pluto Educational Trust also makes limited use of services provided by Google Analytics, which uses “cookies”. These are small files that are placed on web users’ computer devices to administer content for visitors to a website.

Pluto Educational Trust’s use of Google analytics enables the collection of traffic data but does not allow us to identify individual users or link web usage to other personal data.

Website visitors who don’t want their data used by Analytics can install the Analytics opt-out browser add-on. This add-on instructs the Analytics JavaScript (ga.js, analytics.js, and dc.js) running on websites to prohibit their information from being used by Analytics. Using the Analytics opt-out plug-in will not prevent site owners from using other tools to measure site analytics.

Social Media and Other Platforms

Pluto Educational Trust uses social media and social networking to increase the impact of our work in accordance with these sites own data protection policies. These applications require the use of third-party service providers which must be used in accordance with these sites own data protection policies.

Security

We endeavour to do our best to protect your personal data. For all personal data we hold, we use strict procedures and security features to prevent unauthorised access. Nonetheless, we cannot guarantee the absolute security of your data transmitted to our site, and any transmission is at your own risk. 

 

Storage and Retention

The Pluto Educational Trust website is hosted by Squarespace. Squarespace collects personal data when you visit this website, including:

  • Information about your browser, network and device

  • Web pages you visited prior to coming to this website

  • Your IP address

Squarespace needs the data to run this website, and to protect and improve its platform and services. Squarespace analyses the data in a de-personalised form.

Squarespace stores your data in multiple Tier III data centres across the United States. Squarespace serves images and other static assets via multiple geographically distributed content delivery networks (CDNs). The Pluto Educational Trust will retain information about you only for the period necessary to fulfil the purposes for which the information was collected.

This retention period may vary depending on the purposes for which the information was collected. For example, the data we collect via Google Analytics will be stored for 50 months.

Please note that in some circumstances we may be legally obliged to retain your information, for example, for tax and accounting purposes.

Your Rights

As a data subject (i.e. someone about whom we collect personal information), you have certain rights. These rights are not universal or absolute, and may vary depending on applicable data protection legislation. Under GDPR, all website users based in the European Union have the following rights:

  • The right to access personal data held by us about you

  • The right to require us to correct any inaccurate data we might hold about you

  • The right to require us to erase/delete personal data held by us about you

  • The right to restrict our processing of personal data held by us about you
